Build an accurate vehicle inventory

Record each vehicle make, model, body type, configuration, location and operating constraint before artwork is released. Supplier templates are a starting point, while photographs and measured checks help identify accessories, panels, handles, windows and body variations that affect the usable graphics area. Grouping genuinely compatible vehicles prevents one layout from being forced onto bodies that need a different production file.

Set the brand and message hierarchy

The organisation name, core service, contact route, identification numbers and any required operational information need a deliberate order. The layout should remain recognisable at normal road and site viewing conditions without turning every panel into a list of messages. Brand rules can define colour, logo clear space, type, image use and the elements that remain fixed across vans, trucks and specialist vehicles.

Create production-ready vehicle standards

Approved artwork should identify scale, placement, material or finish, panel breaks and any vehicle-specific exclusions. A named file and revision structure gives production and approval teams one current source for each vehicle group. Where the fleet will grow over time, retaining controlled masters and installation references reduces artwork drift and makes future vehicles easier to quote, schedule and reproduce.

Plan bookings around fleet operations

Vehicle availability, depot access, cleaning, existing-graphic removal, installation time and return-to-service requirements shape the rollout. A booking plan can group vehicles by location and type while allowing the operator to keep enough of the fleet working. Recording completed vehicle IDs, dates and exceptions gives both teams a clear view of progress instead of relying on an informal booking list.

Manage replacements and brand changes

Damage, vehicle replacement, acquisitions and brand updates create ongoing work after the first rollout. An asset register linking each vehicle to its approved artwork, installed materials, completion record and replacement history gives the operator a practical maintenance path. When the brand changes, that same register helps define the affected fleet, production batches and withdrawal of superseded files.
